Job Overview 1.In charge of the front desk daily works. Keep a professional and efficient environment for the front desk area.
2.Responsible for visitor registration, log maintain and provide support to security system maintenance.
3.Receive all incoming phone calls and deliver accurate message to the corresponding employees.
4.Deal with all inbound and outbound mails and packages. Make sure ETRs are created before sending out. Keep the original mailing documents including AWBs for 7 years for compliance purpose.
5.EZER report collection, scanning and distribute to Finance in timely basis.
6.SPSP card application, distribution and log maintenance.
7.Ensure a smooth run of overall office, and make sure all equipment function well, maintenance and repair be arranged timely.
8.Work with team and vendor on the preparation of letter of invitation for international travelers.
9.Coordinate with employees, HR and vendors on name card printing.
10.Provide support on admin service contract renew.
11.Responsible for seating layout update and assign seat for new on-board.
12.Responsible for parking management like parking lot assignment, parking information collection to Finance for reimbursement.
13.Provide support to other business functions upon request.
14.Other responsibilities assigned by Manager, Administration.
Minimum Qualifications 3 years related working experience in MNC is a MUST
Knowledge of administrative and clerical procedures
Knowledge of computers and relevant software applications, especially Outlook system
Knowledge of customer service principles and practices
Verbal and written communication skills in bilingual language
Professional personal presentation
